PURPOSE OF THE UNIT STANDARD 
The qualifying learner achieving this unit standard will be able to plan, conduct, prepare minutes and circulate decisions taken at such community meetings. This competence will enable the learner to conduct meetings in accordance with an agenda taking into consideration the needs of the community. This will contribute towards effective communication with community members and accurate records of decisions taken at community meetings. In acquiring this competence the qualifying learner will lay a good foundation for future learning and action, and better understand the broader context of own work. Achieving this unit standard will enhance the employability of the qualifying learner. The learner through the process of consultation with the community members will contribute to community development.

The qualifying learner is capable of:

  • Managing the recording of the minutes of the community meeting.

    The scope of this unit standard is:
  • Physical arrangements for meetings include, but are not limited to, printing, venue, refreshments, notice of meeting, equipment needed, minutes of previous meeting.
  • Supporting documentation includes any information that would enhance understanding or be helpful in decision making and problem solving by providing background information and or setting out options and criteria for decisions and solutions.

    A needs analysis in accordance with recreation programme criteria is conducted.

    Physical arrangements required for a meeting are listed.

    A checklist to ensure the arrangements are in order as part of a management tool, is developed.

    Documents required for a meeting are collated according to meeting needs.

    A scribe is appointed to record the minutes.

    Meeting protocol with regard to recording decisions taken, is explained. 
    ASSESSMENT CRITERION RANGE 
    Meeting protocol includes explaining the function of the minutes as a record of the meeting, how discrepancies in the minutes can be addressed at a meeting etcetera.

    Minutes of a meeting are checked for accuracy and completeness.

    Documents are required for a specific meeting are identified and summarised in order to identify areas of clarification or potential conflict.

    The functions of office bearers are explained with reference to their role in a meeting.

    Opportunities are created to allow for maximum participation of community members during the meeting.

    ASSESSMENT CRITERION 1 
    Situations that could be a potential source of conflict are identified and possible strategies to diffuse conflict are suggested with reference to attitude of member, topic, positions adopted by people, language and tone. 

    ASSESSMENT CRITERION 2 
    Strategies for resolving conflict at a meeting are demonstrated in role play for three different scenarios.

    Communicate decisions taken and follow up on the meeting.

    Minutes are edited and checked for accuracy before distribution. 

    ASSESSMENT CRITERION 2 
    The minutes are circulated to the relevant people and a copy is kept according to standard operating procedures of the organisation. 

    ASSESSMENT CRITERION 3 
    An action list is compiled to ensure that the decisions of a meeting are implemented and an indication is given how the chairperson can monitor these. 

    ASSESSMENT CRITERION 4 
    The meeting is reviewed and suggestions for improvement are made to enhance the effectiveness of future meetings.
