PURPOSE OF THE UNIT STANDARD 
The person credited with this unit standard is able to produce routine replies to project correspondence, including memoranda and e-mails, and a range of project documents produced by reference specifications and materials provided by others. They will be able to prepare documents in which the spelling, grammar and punctuation is correct and in which the layout of text, tables and graphics effectively conveys the information content.

The qualifying learner is capable of:
  • Responding to project correspondence.
  • Preparing a variety of project documents. 

  • LEARNING ASSUMED TO BE IN PLACE AND RECOGNITION OF PRIOR LEARNING 
    Learners accessing this qualification will have demonstrated competence in:
  • Communication at NQF Level 3 or equivalent.
  • Mathematical Literacy at NQF Level 3 or equivalent.
  • Computer literacy and applicable software at NQF Level 3 or equivalent. 

  • UNIT STANDARD RANGE 
  • Correspondence received and responses may be from/to people within the organisation (colleagues, line and project managers), or from people outside the organisation (clients, government organs, members of the public, attorneys).
  • Correspondence received and responses may be standardised, non-standard and as letters, memos and emails.
  • Documents will include reports, memos, letters, emails, lists, tables, schedules, project records; and produced with computer assistance or prepared by hand.
  • Content of documents will include text, tables, graphics, diagrams, and numerical data.

    Correct meaning and tone of the response are effectively conveyed by the language and grammar used.

    Responses made are accurate, clear and in the style of the organisation.

    Copies of incoming and outgoing correspondence are stored in accordance with project and organisational procedures.

    Security, confidentiality and distribution of correspondence are dealt with in accordance with project and organisational procedures.

    Security, confidentiality and distribution project procedures are adhered to as determined in the appropriate organisational procedure.

    Documents are prepared and issued within agreed project deadlines.

    Deadlines that cannot be met are advised to the appropriate people, with reasons, and corrective action proposed.
