The qualification content is currently being updated for the qualifications with the status “Registered-data under construction” or showing “DETAILS UNDER CONSTRUCTION” to ensure compliance with SAQA’S Policy and Criteria for the registration of qualifications and part-qualifications on the National Qualifications Framework (NQF) (As amended, 2022). These qualifications are re-registered until 30 June 2027 and can legitimately be offered by the institutions to which they are registered.

 

In all of the tables in this document, both the pre-2009 NQF Level and the NQF Level is shown. In the text (purpose statements, qualification rules, etc), any references to NQF Levels are to the pre-2009 levels unless specifically stated otherwise.  

PURPOSE AND RATIONALE OF THE QUALIFICATION 
Purpose:
The purpose of this qualification is to equip learners with integrated and detailed knowledge and skills of a professional and vocational nature in Office Management and Technology. A qualified learner will be able to:
  • Identify, analyse, evaluate, critically reflect on and address complex problems, applying evidence-based solutions and theory driven arguments.
  • Demonstrate the ability to access, process and manage information, the ability to develop appropriate processes for information gathering for a given context or use, as well as the ability to independently validate the sources of information and evaluate and manage the information.
  • Develop and communicate own ideas and opinions in well-formed arguments using appropriate academic, professional or occupational discourse.
  • Take decisions and act ethically and professionally and justify the decisions and actions drawing on appropriate ethical values and approaches within a support environment.
  • Apply basic research principles, methodologies and techniques.
  • Apply knowledge of self and team in order to develop a plan to enhance team performance.
  • Understand primary labour legislation that impacts on a business unit.

    Rationale:
    The Advanced Diploma in Office Management and Technology is designed to provide learners with integrated and detailed knowledge in the field of office management and technology. The aim of this qualification is to equip learners with skills, such as, administrative management, managing Information and Communication Technologies, strategic support management and financial management. Learners will be prepared and be able to manage work teams and office projects. This qualification will develop the depth of knowledge of learners in this area of specialisation through hands-on application in order to develop their practical skills which will enable them to apply their skills in the workplace. Learners will also be able to apply and evaluate key terms, concepts, principles and theories in this field and related disciplines. A research methodology is integrated in this qualification in order to develop competencies of learners to identify, analyse and resolve complex theoretical and industry-related problems through the selection and application of appropriate research methods and techniques. This qualification will assist in addressing national skills shortages and qualified learners will be prepared for positions as:
  • Administrative Managers in e-interfaced environments.
  • Managers in a variety of information management positions.
  • Administrative Personnel and Trainee Business Managers in a variety of business fields. 

  • LEARNING ASSUMED TO BE IN PLACE AND RECOGNITION OF PRIOR LEARNING 
    Recognition of Prior Learning (RPL):
    In accordance with the University's Recognition of Prior Learning Policy candidates may gain access to the qualification without the prerequisite formal qualification by being granted advanced standing on the basis of the assessment of prior learning. In addition registered learners in the qualification may have prior learning assessed to be granted exemption from certain modules according to the University's policy and procedures.

    Entry Requirements:
    The minimum entry requirement for this qualification is:
  • An appropriate Diploma or Bachelors' Degree.

    This qualification consists of compulsory and elective modules at NQF Level 7 totalling 120 Credits.

  • The identified problem or challenge is analysed to determine the root problem.
  • Information relating to the problem, challenge is gathered to inform the decision making process.
  • The role of brainstorming in problem solving and decision making is explored and an indication is given of the power of group decision making.
  • Different techniques for solving problems or making decisions are explored and an indication is given of when each is appropriate.
  • Potential solutions are compared and a decision is made as to which is the most appropriate in a specific situation.

  • Records management is described and explained in the context of information management system for business and non-business organisations.
  • The components of a formally established records management programme are described to justify good records management practices.
  • Steps involved in planning and development of a records retention programme are explained to support sound management information system.
  • Concepts and techniques of protecting vital records are explained with examples which support improved information management processes.
  • The difference between direct and indirect file access systems are enumerated and explained.
  • The arrangements, purposes and features of different classification systems are compared against requirements to understand different filing systems.
  • Records management software is described and evaluated for adequacy against standard requirements.

  • Original arguments are presented.
  • Arguments are structured logically and coherently.
  • Arguments are built and developed appropriately during the course of presentation.
  • 4.5 Correct and appropriate bibliographical and reference methods are used.

    Associated Assessment Criteria for Exit Level Outcome 4:
  • The concept of a code of conduct is explained with reference to the role of a code in a business environment.
  • The development of a moral conscience is demonstrated in relation to professional conduct and personal integrity.
  • The process to be followed when the code of ethics is breached is explained using different examples.
  • Behaviour that demonstrates integrity and lack of integrity is distinguished and explained in terms of accepted ethical principles.
  • Decision making contexts are identified and described by referring to external and internal motivation, and consequences.
  • An ethical business decision is made and supported for different scenarios.
  • Ethical issues in the event of conflict of interest are identified and resolved in terms of professional ethical values.

    Associated Assessment Criteria for Exit Level Outcome 5:
  • The research problem is identified in a work-related environment.
  • A research design is developed in terms of which research will be conducted.
  • Data is collected and interpreted using applicable research tools and methods.
  • The format of the research report is applied in terms of standard norms and requirements.
  • The research objectives are stated within the research report.
  • The methodology used to collect information is stated in the report.
  • The research findings and recommendations are stated in the report.

    Associated Assessment Criteria for Exit Level Outcome 6:
  • The organogram of an organisation is interpreted and an indication is given of each employee's place in the organisation.
  • An organisation's expectation of each employee's position are explained and an indication is given as to how performance is monitored and measured.
  • The kinds of conflict that could arise in a team or group are identified and strategies to deal with issues in a team are demonstrated in role-play situations.
  • Strategies for creating a positive working environment in a team or group are explored and an indication is given of the role of the team leader in creating a positive work environment.
  • The strengths and weaknesses of a group or team are identified based on reflection and team performance.
  • Situations that are a cause for concern or dissent in a group or team are identified in order to decide on an appropriate management strategy.
  • A plan of action is developed as a means of achieving group or team goals.

    Associated Assessment Criteria for Exit Level Outcome 7:
  • Labour legislation and policy are identified and an indication is given of who is covered.
  • Legislation and policy are analysed and an indication is given of how the different pieces of legislation interact and support the South African constitution.
  • The concept of freedom of association is explained with reference to employers and employees.
  • The concept of unfair labour practice and dismissal is explained with examples.

    Integrated Assessment:
    Learners will be given a minimum of three formative assessments (two tests and an assignment). Another element of formative assessment will be an industry or practical based project and Portfolio of Evidence (POE's)/Research Project which will be submitted before students sit for the final examination (summative assessment) and these will contribute 40% towards the final mark. A 3-hour examination paper per module will be written. The examination mark will contribute 60% towards the final mark.

    A module lecturer will be an internal examiner for that module and all papers will be externally moderated. Examiners and moderators are appointed by the Senate as per the University's assessment policy. External moderators will be suitably qualified and experienced people from industry and/or practicing academics from other universities. The procedure for the appointment of external moderators is laid down in the institutional examinations' manual. 

  • INTERNATIONAL COMPARABILITY 
    University of Hong Kong:
    The University of Hong Kong in China offers Advanced Diploma in Corporate Administration. This qualification aims to provide knowledge, understanding and intellectual skills in the areas of Administrative Management and Corporate Governance. It provides learners with practical skills relating directly to the subjects and a range of transferable skills that will equip them for a career in company administration, governance, company secretaryship and related areas.

    College of Human Resource Management:
    The College of Human Resource Management in Kenya offers a Higher Diploma in Secretarial Management. This qualification is aimed at providing highly trained learners, equipped with a comprehensive range of skills, including managerial, technological, communication, interpersonal and behavioural skills. Learners are prepared to enter successfully into a variety of fields in the business environment - locally and internationally. Career fields include amongst others, office administration, financial, public relations, personnel, legal and conference organising.

    Conclusion:
    This qualification compares favourably with both qualification offered by the University of Hong Kong and the College of Human Resource Management. All qualifications aim at providing learners with managerial support skills. The importance of information technology and communication is highlighted, including management of personnel.

    This qualification allows for possibilities of both vertical and horizontal articulation.

    The qualification articulates with a Post Graduate Diploma in Office Management and Technology.
